How to prepare a quote-ready material list
A practical checklist for turning project notes into a cleaner request for trade quote review.
What quote-ready means
Quote-ready does not mean perfect. It means the list has enough context for a useful review: what the project is, what materials are preferred, where substitutes are acceptable and what handling notes might affect the order.
- Project type
- Material preferences
- Rough quantities
- Substitution notes
- Timing and access notes
Quote-ready checklist
- Project name or short description
- Preferred categories or product families
- Quantities or measurements
- Acceptable alternates
- Delivery or pickup context
- Long length or heavy item notes
- Any staged order notes
A useful list format
Prepare the request
- 1Collect the project basics
Write one short line explaining the job.
- 2Group the materials
Keep decking, framing, fixings, landscape and finishing items in clear groups.
- 3Add what you do not know
If a detail is uncertain, name it as a question instead of leaving it out.
- 4Send for review
Submit the list once the practical notes are attached.
Quote request questions
Can I send a rough list?
Yes, as long as the rough parts are labelled. A rough list with honest notes is easier to review than a neat list with missing assumptions.
Should I include alternates?
Yes. If another profile, colour or material family could work, say so in the request.
Do I need to choose every product first?
No. Start with categories and project notes, then refine the list as the review develops.
Send a cleaner request
Group the list, add the uncertain details, and send it through when the project notes are ready.
